Supervision Received: The Staff Assistant reports to the Director of Alumni Relations.
Supervision Exercised: Student volunteers, workers, or interns as assigned.
Salary: $53,000 to $58,000 Annually (salary commensurate with education and experience)
General Statement of Duties: The Staff Assistant, Recent Alumni and Reunion Coordinator, supports Alumni Relations and Institutional Advancement in assisting with the coordination of events for the Westfield State office of Alumni Relations, the Alumni Association, and Institutional Advancement; works with campus and volunteer groups on long and short term projects, and assists with the development, coordination, and outreach required for Alumni and Institutional Advancement events and activities.
Duties and Responsibilities: Duties include but not limited to: Essential: - In collaboration with the Director, establishes an annual Graduate of The Last Decade (GOLD) engagement plan.
- Implements a Class Agent program in conjunction with the GOLD alumni engagement plan.
- Plans, produces, and markets successful regional and affinity programming and stand-alone events from concept to post-mortem, including, but not limited to, meetings, receptions, dinners, speaker series, sporting events, networking opportunities, and online programming within a given budget and in a fiscally responsible manner.
- Coordinates the first, fifth, and tenth year reunion celebrations for GOLD alumni.
- Works with the Director to continue communication with Class Agents beyond GOLD status, and assist with class events and reunions as necessary.
- Utilizes student volunteers from current class councils, and the Westfield State Alumni Association to plan and implement current student engagement with alumni.
- Manages partnerships with the Student Activities Office regarding student and alumni engagement, including but not limited to Homecoming, Senior Class 100 Days Toast, and Senior Week.
- Works collaboratively with the Director and Annual Giving Coordinator to develop engagement opportunities for current students and GOLD alumni that inspires philanthropy toward Westfield State.
- Implements strategies for cultivating first-time GOLD donors to encourage long-term giving and involvement with the university.
- Coordinates the Student Alumni Organization (Lifetime Owls) in collaboration with the Director.
- Assists the Director and all of Advancement with annual Homecoming efforts and celebrations.
- Collects and uses data to inform programmatic decisions, making the most impact on engagement, and establishing engagement metrics.
- Assists with Alumni social media. Establishes communication strategies for students and young alumni, utilizing current technology including Hustle Text and Thankview.
- Serves as a liaison to the Westfield State Alumni Association Executive Council, working on young alumni engagement.
- Other duties as assigned.
Non-Essential: - Represents the office of Alumni Relations and the Division of Institutional Advancement at assigned campus events and activities.
Job Requirements:
Qualifications: - Bachelor's Degree required.
- Minimum one to three years of experience managing events from planning through promotion to successful implementation.
- Ability to manage and motivate groups of student, alumni, and community volunteers.
- Fluency in Windows based operating system including experience with online social networking applications.
- Fluency in CRM management, specifically Raiser's Edge, preferred.
- Strong interpersonal, communication, and organizational skills.
- Excellent command of general business etiquette and professional demeanor.
- Ability to work evenings and weekends as needed.

Salary: Salaries for current Westfield State University employees and individuals currently working for the state of Massachusetts must be calculated individually in accordance with collective bargaining agreements as well as state policies. State job specifications may be found on the Department of Higher Education's webpage .
